Understand the Dashboard and Navigation

The dashboard is the starting point for your day-to-day work in the FreeTravel Agent Portal. Dashboard overview The dashboard may show: - Commission or reward activity from eligible completed stays. - Total booking value. - Completed booking count. - Reward-point balance. - Current membership tier and reward rate. - Progress toward the next membership tier. - Recent bookings. - A Book a hotel shortcut. Figures may be updated at different times. For example, a completed stay may appear in your booking history before the related hotel commission is confirmed. Left navigation In your personal workspace, the left navigation normally includes: - Dashboard - Book a Hotel - Orders - Frequent Guests - Commission Payout - Membership - Settings - Payment methods - Affiliate Agreement - Privacy Policy In an agency workspace, the navigation may include: - Overview - Book a Hotel - Orders - Frequent Guests - Commission Payout for authorized roles - Members for authorized roles - Settings Collapse or open the navigation On a desktop, you may be able to collapse the left navigation to create more room for hotel search results. On a smaller screen, use the menu button to open the navigation drawer. User menu The user menu in the upper-right corner provides access to: - Account settings. - Account Security Center. - Sign out. Recent bookings Select a recent booking to open its details. Use the full Orders page when you need to search by guest name or order number, view cancellation terms, or review the commission timeline. Keep the correct workspace active The most common navigation mistake is starting a personal booking when the reservation should belong to an agency, or the reverse. Before selecting Book a Hotel, check the workspace name near the bottom of the left navigation.

Manage Saved Payment Methods

Saved payment methods can make hotel booking faster. Cards may be available for both personal and agency bookings, depending on your account and agency policy. Add a card 1. Open Payment methods. 2. Select the option to add a new card. 3. Enter the cardholder name, card number, expiration date, and any other required information. 4. Save the card. Use a card only when you have authorization from the cardholder and your agency. Set a default card A default card may be selected automatically during booking. Always confirm the card before completing a reservation, especially when switching between personal and agency workspaces. Edit or remove a card From Payment methods, select the card and choose the available edit, set-default, or delete action. Removing a card does not cancel any existing hotel reservation. A hotel may still retain payment details attached to a confirmed booking according to its policy. Supported card brands The portal may recognize common card networks, including Visa, Mastercard, American Express, Discover, Diners Club, JCB, UnionPay, Maestro, and other supported brands. Card acceptance is controlled by the hotel and rate plan. A card saved successfully in the portal may still be declined by a specific hotel. Card used for guarantee versus payment A hotel rate may use the card for: - Reservation guarantee only. - Advance payment. - Deposit. - Cancellation or no-show fee. - Payment at check-in or check-out. Review the selected rate's payment terms. Card security - Do not share full card details by email or chat. - Do not save a client's card without authorization. - Remove cards that should no longer be used. - Confirm the last four digits before booking. - Report an unrecognized charge directly to the hotel and the card issuer, then review the booking in Orders. A card was declined Try the following: - Confirm the number and expiration date. - Confirm the billing name and address when required. - Ask the cardholder to approve international or travel-related charges. - Use a different supported card. - Check whether the hotel requires a card issued in a specific country. - Confirm that the card has enough available credit for deposits and incidentals.

Manage Frequent Guests and Loyalty Numbers

Save client profiles to reduce repeated data entry and help apply the correct hotel loyalty number during booking. Add a frequent guest 1. Open Frequent Guests. 2. Select Add guest. 3. Enter the guest's name and contact information. 4. Add one or more hotel loyalty memberships. 5. Save the profile. Enter the guest's name as it appears on identification used for travel. Add hotel loyalty memberships For each membership, select the hotel group and enter the loyalty number. Examples may include: - Marriott Bonvoy. - Hilton Honors. - World of Hyatt. - IHG One Rewards. - ALL - Accor Live Limitless. - Wyndham Rewards. - Choice Privileges. - Other supported hotel programs. One loyalty program may cover many brands. For example, a single Marriott Bonvoy number can apply across participating Marriott brands. Use a saved guest during booking When booking a room, choose the saved guest. The portal may fill in contact details and the matching loyalty number for the selected hotel group. Always verify the information before confirming the booking. Edit or delete a guest Open the guest record to update contact details or membership numbers. Delete a profile only when it is no longer needed and your data-retention policy permits deletion. Reorder frequent guests If the portal provides reordering, move the most frequently booked clients to the top of the list. Personal versus agency guest lists - Personal guests are available in your personal workspace. - Agency guests are shared within the selected agency workspace. Agency members may be able to view all shared guests, but normally only the creator of a guest record can edit or delete it. Privacy and consent Store only information needed for legitimate travel-booking purposes. Follow your agency's privacy policy and applicable law. Do not enter sensitive information, such as passport scans or full payment card numbers, in free-text fields unless the portal specifically requests it through a secure feature. Loyalty number did not appear Check that: - The guest profile includes the correct hotel group. - The membership number is valid. - You selected the saved guest in the booking form. - The hotel belongs to a participating brand within that group. - The selected rate allows loyalty participation.
