Search for Hotels

Use Book a Hotel to search live hotel availability and rates. Start a search 1. Confirm the correct personal or agency workspace. 2. Select Book a Hotel. 3. Enter a destination. 4. Select the check-in and check-out dates. 5. Set the number of guests and rooms. 6. Optionally select a hotel group or brand. 7. Select a display currency or keep Hotel Currency. 8. Select Search. Choose the correct destination The destination field can search for: - Cities. - Airports. - Specific hotels. Select a suggestion from the list rather than entering only free text. This helps the system identify the correct location. For airport stays, select the airport result. For a known property, select the hotel result directly. Search by hotel group or brand Use the hotel brand filter when the client requests a particular hotel group, such as Marriott, Hilton, Hyatt, IHG, Accor, or another supported group. Brand filtering is especially useful when: - The guest has elite status. - The guest wants to earn points with one program. - Corporate policy permits only specific brands. - You want to compare member or preferred rates within a group. Search for multiple rooms Set the correct number of rooms and total guests before searching. Room occupancy rules vary by property. A hotel may return different room types or rates when guest counts change. Select a currency Selecting a display currency helps you compare results. The converted amount is for display and may not be the final transaction currency. Review the rate's original currency and final booking total before confirmation. Wait for live results The portal searches live inventory and may display results progressively. You may see messages such as: - Finding available stays - Checking live rates - Showing your best matches You can begin reviewing available results while additional properties continue to load. Use Load more if it appears. Recent searches The portal may remember a small number of recent searches. Use Pick up where you left off to repeat a recent destination and date search, then confirm all details before booking. No results found Try one or more of the following: - Remove the brand filter. - Search the city instead of a specific hotel. - Search the airport instead of the city, or the reverse. - Change the dates. - Reduce the number of rooms. - Check whether the stay exceeds the hotel's maximum booking length. - Search a nearby district or alternate airport.

Filter, Sort, and View Hotels on a Map

After a search, use filters and sorting to narrow the list to the best options for your client. Filter by hotel name Enter part of a hotel name in the result-page filter. This is useful when the city search returns many properties. Filter by hotel group or brand Use the brand filter to show only selected hotel groups. Clear the filter to return to the full result list. Sort results Available sorting options may include: - Distance: nearest to farthest. - Price: low to high. - Price: high to low. The displayed price is normally a starting price for the searched stay. Different room types and rate plans may have different totals. Use the map Select View on map to see loaded hotel results by location. Use the map to compare: - Distance from an airport or city center. - Proximity to a meeting venue, attraction, or neighborhood. - Hotels on different sides of a city. Only the currently loaded results may appear on the map. Load additional results if needed. Understand result cards A hotel card may show: - Hotel photo. - Official hotel name. - Hotel group or brand. - City or location. - Distance from the searched location. - TripO program labels such as Premier or Select. - A special-benefits indicator. - A starting nightly price. - A View deal button. Program labels indicate that certain rates or benefits may be available. They do not mean every room at that hotel includes the same benefits. Compare location and value together A lower rate may be farther from the client's preferred area or may have stricter cancellation terms. Before recommending an option, review: - Total stay price. - Taxes and fees. - Included breakfast. - Cancellation deadline. - Room and bed type. - Loyalty eligibility. - Included hotel benefits. - Travel time to the client's main destination.

Understand Rooms, Rates, Taxes, Policies, and Benefits

A hotel may offer many room and rate combinations. Review the complete rate plan rather than choosing only the lowest displayed price. Room information Check: - Room name and category. - Bed type and number of beds. - Maximum occupancy. - Smoking or non-smoking designation. - Accessible-room information. - Room size or view, when provided. Hotel room names can vary by source. If a specific bed type is essential, review the written description and add a special request. A special request is not guaranteed unless the room type itself confirms it. Price information Review both: - Price per night. - Total price for the full stay. The total may include taxes and fees, but always review the final summary. Resort fees, local taxes, deposits, incidentals, or other hotel-collected charges may be payable at the property. Meal plans A rate may be: - Room only. - Breakfast included. - Breakfast available as a preferred benefit. - Another meal plan specified in the rate description. Confirm how many guests receive breakfast. “Breakfast included” may not always cover every person in a multi-guest room. Cancellation policy Read the cancellation policy for each room before booking. Important details include: - Free-cancellation deadline. - Hotel local time used for the deadline. - Cancellation fee after the deadline. - Whether the rate is non-refundable. - Whether the full stay or only certain nights may be charged. For multi-room bookings, different rooms can have different policies. Payment timing A rate may require: - Payment at the hotel. - A card guarantee. - Advance payment. - A deposit before arrival. Follow the exact payment wording in the selected rate. Loyalty eligibility Some rates may qualify for hotel loyalty points, elite-night credit, and elite recognition. Others may not. Review any loyalty or participation notice shown on the hotel or rate page. Preferred and VIP benefits Eligible rates may include benefits such as: - Daily breakfast. - Hotel credit. - Complimentary Wi-Fi. - Room upgrade, subject to availability. - Early check-in, subject to availability. - Late check-out, subject to availability. - Welcome amenity. Benefits are controlled by the selected rate and hotel. Do not promise a benefit that is not shown in the rate details. Price verification Before booking, the portal verifies the selected rate. If the price, availability, or policy changed, review the updated information before continuing.

Book a Hotel

Complete a hotel reservation only after confirming the selected room, rate, guest details, and cancellation terms. Before you begin Confirm: - The correct personal or agency workspace is active. - Check-in and check-out dates are correct. - Guest and room counts are correct. - The room and bed type meet the client's needs. - The selected rate includes the expected meals and benefits. - The cancellation policy is acceptable. - The payment method is authorized. Select a room and rate 1. Open a hotel from the search results. 2. Review the hotel details and location. 3. Compare the available room types and rate plans. 4. Select Reserve for the required rate. Enter guest details For each room, enter the guest name exactly as it should appear on the reservation. Add the contact email and international phone number requested by the form. When available, select a saved frequent guest to fill in the guest's details and hotel loyalty membership. Add a loyalty number Enter the loyalty number for the hotel group when the rate is eligible. Confirm that the loyalty account belongs to the staying guest. A loyalty number does not guarantee points, elite-night credit, or elite benefits. Eligibility is controlled by the hotel and rate plan. Choose a payment method Select an authorized saved card or enter a new card. The card may be used for guarantee, payment, deposit, or cancellation charges according to the rate terms. Add special requests Use the special-request field for items such as: - Estimated arrival time. - Connecting or adjoining rooms. - High floor or quiet room. - Crib or rollaway request. - Accessibility-related request. Special requests are sent to the hotel but are not guaranteed unless the selected room or rate specifically confirms them. Review the booking Before selecting the final confirmation button, verify: - Hotel name and address. - Dates and number of nights. - Number of rooms and guests. - Guest names. - Room and bed type. - Included benefits. - Cancellation deadline and fees. - Total price and currency. - Payment timing. - Workspace ownership. After confirmation Save the: - FreeTravel or TripO order number. - Hotel confirmation number. - Cancellation policy. - Final price and currency. The booking should appear in Orders. For many connected hotels, the reservation may also appear in the guest's hotel account or the hotel group's website or app. Do not submit twice If the page freezes or the confirmation screen does not appear, check Orders before trying again. Submitting the same booking twice may create duplicate reservations.

Understand Hotel Loyalty Credit and Elite Benefits

One of TripO's key goals is to make professional hotel rates available while preserving hotel loyalty participation when the hotel and rate permit it. Possible loyalty benefits An eligible booking may receive: - Hotel loyalty points. - Elite-night or qualifying-stay credit. - Recognition of the guest's elite status. - Elite benefits offered by the hotel program. - Co-branded credit card rewards, subject to the card issuer's rules. Loyalty participation is rate-specific A hotel may offer both participating and non-participating rates. Always check the selected rate and any hotel-program notice. A loyalty number on the reservation does not itself guarantee credit. Add the correct loyalty number 1. Save the guest in Frequent Guests. 2. Add the loyalty membership for the correct hotel group. 3. Select the saved guest during booking. 4. Confirm that the loyalty number appears before booking. 5. Ask the guest to verify the reservation in the hotel group's app or website when available. Elite benefits Elite benefits are provided under the hotel program's rules and may depend on: - Guest status at check-in. - Participating hotel and brand. - Selected rate. - Availability at arrival. - Length of stay. Room upgrades, early check-in, and late check-out are often subject to availability. Known participation exceptions Some hotels or rate types may not participate in a larger hotel group's loyalty program even when the property is associated with that group. The hotel detail page may display a participation warning. Some regional or net rates may also be non-commissionable while still being bookable. Missing points after a stay Advise the guest to keep the hotel folio and confirmation number. The guest can submit a missing-stay request directly to the hotel loyalty program. FreeTravel can provide booking records, but the hotel program makes the final decision on points and elite credit. Do not make absolute promises Use language such as “expected to be eligible” or “the selected rate shows loyalty participation” rather than guaranteeing points or elite benefits.

Understand Special Rates and VIP Benefits

Some hotels offer preferred or special-benefit rates through TripO and FreeTravel's industry relationships. These rates can provide extra value beyond the room price. Possible special benefits Depending on the hotel and rate, benefits may include: - Daily breakfast for one or two guests. - Hotel credit for dining, spa, or other eligible charges. - Complimentary Wi-Fi. - Room upgrade, subject to availability. - Early check-in, subject to availability. - Late check-out, subject to availability. - VIP welcome amenity. - A reduced rate compared with the hotel's standard flexible rate. - Stay offers such as an additional night or other promotional value. How to identify a special-benefit hotel Search results or hotel details may show labels such as: - Premier. - Select. - Special Benefits. - SP. - A written benefits section under a rate plan. Open the hotel and read the complete rate description. A hotel label does not mean every room or rate includes every benefit. Benefit availability Benefits can depend on: - Exact rate plan. - Number of nights. - Room type. - Number of registered guests. - Hotel participation dates. - Availability at check-in. Hotel credit Review: - The credit amount and currency. - Whether it is per stay or per night. - Eligible outlets or services. - Whether unused credit expires. - Whether the credit can be applied to taxes, fees, or room rate. Hotel credit is normally not redeemable for cash. Breakfast Confirm: - Number of guests covered. - Restaurant or room-service restrictions. - Daily limit, if any. - Whether gratuity or taxes are included. Upgrade, early check-in, and late check-out Unless the rate explicitly guarantees them, these benefits are usually subject to availability and should be presented to the client as requests or expected program benefits. Special Design Hotels benefits Certain identified Design Hotels properties may display a dedicated special-benefits section. The source guide describes possible benefits such as a preferred rate, VIP treatment, early check-in, late check-out, room upgrade, Wi-Fi, and enhanced commission. Review the current hotel page for the exact offer. Client communication Send the client the confirmed rate details and clearly separate: - Guaranteed inclusions. - Benefits subject to availability. - Special requests.
