Sign In, Sign Out, and Manage Account Security

FreeTravel uses a secure hosted sign-in service. Your password is entered on the authentication page rather than directly inside the Agent Portal. Sign in 1. Go to https://agent.freetravel.me. 2. Select Sign in if prompted. 3. Complete the secure sign-in process. 4. After successful authentication, you will be returned to the portal. If you opened a protected page before signing in, the portal normally returns you to that page after authentication. Sign out 1. Open the user menu in the upper-right corner. 2. Select Sign out. 3. Wait for the authentication service to complete the sign-out process. On a shared computer, close the browser after signing out. Change your password or security settings 1. Open the user menu. 2. Select Account Security Center. 3. Follow the instructions to change your password or manage any available security features. Security center: https://auth.tripo.cc/account/security What to do when your session expires A session may expire because of inactivity, a security change, a revoked login, or a sign-out from another location. If you see Your session expired: 1. Select Sign in again. 2. Complete the secure sign-in process. 3. Return to the page you were using. Do not repeatedly refresh a booking confirmation screen. First check Orders to determine whether the reservation was created. Invite them as agency members instead. - Review the booking workspace before confirming a reservation. - Sign out when using a public or shared device. - Verify unexpected invitations before accepting them. - Never send full payment card details through chat or email. Disable browser extensions that block cookies or redirects. 4. Allow cookies for the portal and authentication pages. 5. Clear site data for the portal and try again. 6. Book a Hotel

Complete a hotel reservation only after confirming the selected room, rate, guest details, and cancellation terms. Before you begin Confirm: - The correct personal or agency workspace is active. - Check-in and check-out dates are correct. - Guest and room counts are correct. - The room and bed type meet the client's needs. - The selected rate includes the expected meals and benefits. - The cancellation policy is acceptable. - The payment method is authorized. Select a room and rate 1. Open a hotel from the search results. 2. Review the hotel details and location. 3. Compare the available room types and rate plans. 4. Select Reserve for the required rate. Enter guest details For each room, enter the guest name exactly as it should appear on the reservation. Add the contact email and international phone number requested by the form. When available, select a saved frequent guest to fill in the guest's details and hotel loyalty membership. Add a loyalty number Enter the loyalty number for the hotel group when the rate is eligible. Confirm that the loyalty account belongs to the staying guest. A loyalty number does not guarantee points, elite-night credit, or elite benefits. Eligibility is controlled by the hotel and rate plan. Choose a payment method Select an authorized saved card or enter a new card. The card may be used for guarantee, payment, deposit, or cancellation charges according to the rate terms. Add special requests Use the special-request field for items such as: - Estimated arrival time. - Connecting or adjoining rooms. - High floor or quiet room. - Crib or rollaway request. - Accessibility-related request. Special requests are sent to the hotel but are not guaranteed unless the selected room or rate specifically confirms them. Review the booking Before selecting the final confirmation button, verify: - Hotel name and address. - Dates and number of nights. - Number of rooms and guests. - Guest names. - Room and bed type. - Included benefits. - Cancellation deadline and fees. - Total price and currency. - Payment timing. - Workspace ownership. After confirmation Save the: - FreeTravel or TripO order number. - Hotel confirmation number. - Cancellation policy. - Final price and currency. The booking should appear in Orders. For many connected hotels, the reservation may also appear in the guest's hotel account or the hotel group's website or app. Do not submit twice If the page freezes or the confirmation screen does not appear, check Orders before trying again. Submitting the same booking twice may create duplicate reservations.

Understand Rooms, Rates, Taxes, Policies, and Benefits

A hotel may offer many room and rate combinations. Review the complete rate plan rather than choosing only the lowest displayed price. Room information Check: - Room name and category. - Bed type and number of beds. - Maximum occupancy. - Smoking or non-smoking designation. - Accessible-room information. - Room size or view, when provided. Hotel room names can vary by source. If a specific bed type is essential, review the written description and add a special request. A special request is not guaranteed unless the room type itself confirms it. Price information Review both: - Price per night. - Total price for the full stay. The total may include taxes and fees, but always review the final summary. Resort fees, local taxes, deposits, incidentals, or other hotel-collected charges may be payable at the property. Meal plans A rate may be: - Room only. - Breakfast included. - Breakfast available as a preferred benefit. - Another meal plan specified in the rate description. Confirm how many guests receive breakfast. “Breakfast included” may not always cover every person in a multi-guest room. Cancellation policy Read the cancellation policy for each room before booking. Important details include: - Free-cancellation deadline. - Hotel local time used for the deadline. - Cancellation fee after the deadline. - Whether the rate is non-refundable. - Whether the full stay or only certain nights may be charged. For multi-room bookings, different rooms can have different policies. Payment timing A rate may require: - Payment at the hotel. - A card guarantee. - Advance payment. - A deposit before arrival. Follow the exact payment wording in the selected rate. Loyalty eligibility Some rates may qualify for hotel loyalty points, elite-night credit, and elite recognition. Others may not. Review any loyalty or participation notice shown on the hotel or rate page. Preferred and VIP benefits Eligible rates may include benefits such as: - Daily breakfast. - Hotel credit. - Complimentary Wi-Fi. - Room upgrade, subject to availability. - Early check-in, subject to availability. - Late check-out, subject to availability. - Welcome amenity. Benefits are controlled by the selected rate and hotel. Do not promise a benefit that is not shown in the rate details. Price verification Before booking, the portal verifies the selected rate. If the price, availability, or policy changed, review the updated information before continuing.

Understand the Dashboard and Navigation

The dashboard is the starting point for your day-to-day work in the FreeTravel Agent Portal. Dashboard overview The dashboard may show: - Commission or reward activity from eligible completed stays. - Total booking value. - Completed booking count. - Reward-point balance. - Current membership tier and reward rate. - Progress toward the next membership tier. - Recent bookings. - A Book a hotel shortcut. Figures may be updated at different times. For example, a completed stay may appear in your booking history before the related hotel commission is confirmed. Left navigation In your personal workspace, the left navigation normally includes: - Dashboard - Book a Hotel - Orders - Frequent Guests - Commission Payout - Membership - Settings - Payment methods - Affiliate Agreement - Privacy Policy In an agency workspace, the navigation may include: - Overview - Book a Hotel - Orders - Frequent Guests - Commission Payout for authorized roles - Members for authorized roles - Settings Collapse or open the navigation On a desktop, you may be able to collapse the left navigation to create more room for hotel search results. On a smaller screen, use the menu button to open the navigation drawer. User menu The user menu in the upper-right corner provides access to: - Account settings. - Account Security Center. - Sign out. Recent bookings Select a recent booking to open its details. Use the full Orders page when you need to search by guest name or order number, view cancellation terms, or review the commission timeline. Keep the correct workspace active The most common navigation mistake is starting a personal booking when the reservation should belong to an agency, or the reverse. Before selecting Book a Hotel, check the workspace name near the bottom of the left navigation.

Understand Hotel Loyalty Credit and Elite Benefits

One of TripO's key goals is to make professional hotel rates available while preserving hotel loyalty participation when the hotel and rate permit it. Possible loyalty benefits An eligible booking may receive: - Hotel loyalty points. - Elite-night or qualifying-stay credit. - Recognition of the guest's elite status. - Elite benefits offered by the hotel program. - Co-branded credit card rewards, subject to the card issuer's rules. Loyalty participation is rate-specific A hotel may offer both participating and non-participating rates. Always check the selected rate and any hotel-program notice. A loyalty number on the reservation does not itself guarantee credit. Add the correct loyalty number 1. Save the guest in Frequent Guests. 2. Add the loyalty membership for the correct hotel group. 3. Select the saved guest during booking. 4. Confirm that the loyalty number appears before booking. 5. Ask the guest to verify the reservation in the hotel group's app or website when available. Elite benefits Elite benefits are provided under the hotel program's rules and may depend on: - Guest status at check-in. - Participating hotel and brand. - Selected rate. - Availability at arrival. - Length of stay. Room upgrades, early check-in, and late check-out are often subject to availability. Known participation exceptions Some hotels or rate types may not participate in a larger hotel group's loyalty program even when the property is associated with that group. The hotel detail page may display a participation warning. Some regional or net rates may also be non-commissionable while still being bookable. Missing points after a stay Advise the guest to keep the hotel folio and confirmation number. The guest can submit a missing-stay request directly to the hotel loyalty program. FreeTravel can provide booking records, but the hotel program makes the final decision on points and elite credit. Do not make absolute promises Use language such as “expected to be eligible” or “the selected rate shows loyalty participation” rather than guaranteeing points or elite benefits.
